Unleashing Excel’s full force with Power Query

Get ready to up your Excel game with this ACE data transformation tool.

What’s that saying? With great power comes great responsibility. Well get ready, because I’m about to share with you some of the biggest power Excel has to offer. 

Allow me to introduce Power Query – a data preparation and transformation engine. 

What does that mean? Well to put it simply, Power Query is a tool that allows you to extract, transform, and load data from various sources into Excel spreadsheets using a (really easy to use!) visual interface. 

It was first introduced in Excel 2010 as an external add-in but since then it’s become an integral part of Excel’s data handling capabilities (and fast becoming one of my favourite tools to use).

With Power Query, you can seamlessly import data from sources like databases, text files, websites, Excel files and even pictures! Once imported, you can shape, cleanse, and transform your data before loading it into your worksheets.

It’s designed to save you time in managing your data (which I’m all for) and creates neat data tables or charts that are easy to digest and present. It’s a win-win! 

So, in this article, I’ll unpack more about what Power Query does, and how it operates, and give you some helpful tips to make sure you’re getting the most from your queries.

The 4 Phases of Power Query

Power Query is the BEST! It’s such a versatile tool and a game-changer when it comes to Excel.

To harness its full potential, we first need to understand the four primary phases involved in performing a query: Connection, Transformation, Combination, and Loading.

1. Connection

The first phase of Power Query is data connection. 

This is where you begin your journey with Power Query by importing data from various sources. 

Excel provides a wide range of options for data sources, including databases (i.e. SQL/Access, etc.), Excel files, folders, text files, web services, data from ranges/tables in your current workbook or even pictures or PDFs. With Power Query, you can bring all of those sources together using your own transformations to help you uncover new insights in your data (exciting right?!)

You can select your data source, establish a connection, and choose the specific data you want to work with.

During this phase, you might apply filters or conditions to retrieve only the data that are relevant to your analysis. Power Query allows you to preview the data, ensuring you’re importing the right information.

BONUS TIP: The real beauty is that once imported, you can refresh your data to bring in additional sources, accommodate changes to your sources, or delete data.

2. Transformation

Once you’ve connected to your data source, you enter the data transformation phase. This is where the true magic of Power Query shines. 

When we talk about data transformation, that can mean taking actions such as removing a column, changing a data type, or applying a filter to a row (to name but a few). The process of applying transformations to one or more sets of data is also known as shaping data.

Shaping data is just the same as baking a cake. You start with your raw ingredients and combine and bake them into something tasty. It’s the same with your data, starting with your sources before shaping them into a table that’s suitable for your reporting needs.

You can transform, clean and shape your data in various ways, such as:

  • Removing duplicates
  • Splitting columns
  • Filling columns (this copies data into empty rows below!)
  • Filtering rows
  • Renaming columns
  • Changing data types
  • Converting dates into months/quarters/years
  • Adding calculated columns
  • Pivoting and unpivoting (this is a SUPER ACE feature!)
  • Combining data from multiple sources

…and much, much more!

The transformational capabilities of Power Query are extensive, allowing you to prepare your data for analysis effectively.

3. Combination

In many cases, data doesn’t come neatly packaged from a single source and you might need to combine data from multiple tables, files, or databases. 

Power Query simplifies this process in the data combination phase. 

You can merge tables based on common columns – This provides a similar result to a Vlookup (or Xlookup) in a normal spreadsheet.

You can also append data from different sources. This would merge data from different queries into one complete query.

Data combination is crucial when dealing with complex reports that require information from various departments or systems. Power Query ensures that disparate data sources can seamlessly work together.

4. Loading

The final phase of Power Query is data loading. 

After you’ve transformed and shaped your data to meet your requirements, it’s time to load it into your Excel workbook. 

You have the option to load the data directly into a worksheet or create a data model, which can be used for more advanced analysis and reporting in tools like PivotTables and PivotCharts.

Loading data into a worksheet can take the form of a table/pivot table/pivot chart or connection only (this option is useful when the data is only required to be used for merging purposes).

Power Query also allows you to schedule automatic data refreshes, ensuring that your data is always up-to-date without manual intervention.

Power Query streamlines the process of consolidating data from multiple sources. You can pull data from various databases, spreadsheets, folders and web services into a single location, simplifying your data integration efforts.

Power Query offers an array of data transformation tools that empower you to clean, reshape, and enrich your data. You can filter rows, remove duplicates, pivot and unpivot data, merge queries, and perform calculations on your data before using it in your analysis.

3. Automation

Once you create a Power Query, you can refresh the data with a single click, ensuring that your analysis is always up-to-date. This automation saves you time and minimises errors that can occur when manually updating data.

The beauty of this is that there are no tricky formulas to maintain, and each of the rules built into the Query, will be applied to your current data seamlessly, every time the data is refreshed.

4. User-Friendly Interface

Power Query provides a user-friendly, step-by-step interface that allows users of all levels to perform advanced data transformation tasks without writing complex code.

Tips for Effective Power Query Usage

Here are some top tips to help you excel in using Power Query to transform your data: 

  1. Document Your Steps: As you apply transformations, consider adding comments and annotations to each ‘Step’ in order to document your data cleansing and transformation process. This makes it easier for others (and yourself) to understand your work.
  2. Use Parameters: Parameters allow you to create dynamic queries that can be easily adapted for different scenarios. For instance, you can use a parameter to specify a date range for data retrieval. (This will be covered in a later article)
  3. Error Handling: Define how to handle errors during data retrieval or transformation, such as replacing missing values with zeros or custom error messages. But beware that this doesn’t mask any potential issues.
  4. Optimise Query Performance: If you’re working with large datasets, focus on optimising your query’s performance. Remove unnecessary columns early in your transformation process to reduce memory consumption.
  5. Learn the M Language: While Power Query’s interface is user-friendly, learning the Power Query formula language (also known as M language) that underlies it can help you perform advanced tasks and create custom functions.


Microsoft Excel’s Power Query is a game changer for data analysis. If you’re not using it, then you’re yet to unlock the full force of Excel. 

Power Query is the BEST and if I had to choose one part of Excel to advocate for (hypothetically speaking that is, it would be impossible for me to choose really), then Power Query would have my backing. 

Access, transform, and load data from various sources with ease. Whether you’re cleaning up messy data, consolidating information from multiple files, or automating your data refresh process, Power Query empowers you to work more efficiently and accurately.
